This Privacy Policy explains how Pembroke Holdings LLC, doing business as Before the Beep ("Before the Beep," "we," "us," or "our"), collects, uses, discloses, and protects personal information through beforethebeep.com and our phone-answering services.

When you request a walkthrough, contact us, or communicate with us, we may collect your name, email address, optional phone number, company or service interest, and the contents of your message.

Customer and account information

If your business uses Before the Beep, we may collect business contact details, account and billing records, service-area information, business knowledge, call-handling instructions, scheduling rules, and other information needed to configure and support the service.

Caller and service data

When we provide phone-answering services for a business customer, we may process caller names, phone numbers, addresses, reasons for calling, appointment details, call recordings, transcripts, summaries, and call metadata. The information collected depends on the call path approved by the business customer and the features it uses.

Technical information

Our website and service providers may automatically receive information such as an IP address, browser or device type, request records, timestamps, security logs, referring pages, campaign parameters, and interactions with our website or advertisements. We use this information to deliver, protect, troubleshoot, and, when you permit optional analytics or advertising technologies, measure the website and our marketing.

2. How we use information

We may use personal information to:

  • Respond to inquiries and schedule demos or follow-up conversations.
  • Set up, operate, customize, and support phone-answering services.
  • Answer calls, follow approved call paths, send call summaries, and support appointment booking where included in a customer's plan.
  • Send service, account, and transactional communications.
  • Maintain security, prevent abuse, diagnose problems, and protect our customers and services.
  • Maintain business, accounting, compliance, and dispute-resolution records.
  • Improve our operations, support, and service quality.
  • Measure which pages, content, and campaigns generate inquiries and, when permitted, create or measure advertising audiences.

3. How we disclose information

We may disclose information to vendors that help us provide our services, such as:

  • Cloudflare for website hosting, delivery, and security.
  • Resend for transactional email delivery.
  • Retell AI and related telephony providers for call handling and, when configured, recording, transcription, summarization, and call metadata processing.
  • Business tools used for email, customer relationship management, scheduling, billing, and support.
  • Google Analytics and Meta business tools, when enabled with your permission, for audience measurement, advertising measurement, and campaign attribution.
  • Authorized service providers that support Before the Beep for Pembroke Holdings LLC.

We may also disclose information if required by law, to protect rights or safety, in connection with a business transaction, or with your direction or consent. We do not sell or rent personal information. Depending on applicable law, allowing advertising technology to associate website activity with an advertising profile may be considered targeted advertising, sharing, or a similar regulated activity; you may decline or withdraw permission through the website's Privacy choices control.

4. Calls handled for our customers

When Before the Beep handles a call for another business, that business generally decides why and how caller information is used. If you are a caller seeking to exercise a privacy right, contact the business you called first. You may also contact us, and we will help route the request when appropriate.

Call recording and transcription laws vary by location. Our business customers are responsible for configuring and using the service lawfully, including providing any notice and obtaining any consent required for recording, transcription, or automated communications.

5. Cookies and similar technologies

Our hosting and security providers may use necessary technologies and logs to deliver and protect the website. When analytics or advertising tools are configured, they remain disabled until you choose “Allow analytics.” If allowed, Google Analytics and Meta business tools may use cookies, pixels, device or browser information, campaign identifiers, and website events to measure visits and inquiries, attribute campaigns, and support advertising audiences.

You can choose “Necessary only” without affecting the contact form or core website. You can later reopen Privacy choices from the footer and change your selection. Browser settings and the privacy controls offered by Google and Meta may provide additional choices.

6. Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Policy, our agreements, and applicable legal, accounting, security, and dispute-resolution requirements. Retention for call data may depend on a customer's configuration and the systems used to provide the service. When information is no longer needed, we take reasonable steps to delete or deidentify it.

7. Security

We use reasonable administrative and technical safeguards designed to protect personal information. No system or transmission method can be guaranteed to be completely secure.

8. Your privacy choices and rights

Depending on where you live and how we handle your information, you may have rights to request access, correction, deletion, or a copy of personal information, to limit certain uses, or to opt out of a sale, sharing, or targeted advertising. We do not discriminate against anyone for exercising an applicable privacy right.

SMS/Text Messaging

Mobile phone numbers and SMS consent are never shared with or sold to third parties for marketing purposes. Message frequency varies, and message and data rates may apply. You can reply STOP to opt out or HELP for help.

9. Children

Our website and services are intended for businesses and are not directed to children under 18. We do not knowingly collect personal information directly from children through this website. If you believe a child has provided information to us, please contact us.

10. Processing in the United States

Before the Beep and its providers may process and store information in the United States. If you access the services from another location, your information may be transferred to and processed in the United States.

11. Changes to this Policy

We may update this Policy as our services or legal obligations change. We will post the updated version on this page and change the effective date. If a change is material, we will provide additional notice when required.
